Gravity Forms Bookings: powerful, but expensive and still maturing

Gravity Forms Bookings is a serious scheduling engine, not a quick appointment widget. It turns Gravity Forms submissions into managed bookings and adds services, resources, availability rules, capacity, occupancy, pricing, calendar views, and customer self-service cancellation or rescheduling. The current documentation presents it as GP Bookings, a Gravity Wiz product built around the Gravity Forms ecosystem.

Its genuine strength is flexibility. You can create a service such as a consultation, attach resources such as staff members, rooms, or equipment, define working hours and blackout periods, add buffers and lead times, and price bookings according to duration, date, time, occupancy, quantity, service, or resource. That makes it a strong fit for salons, fitness classes, rentals, clinics, tutoring, and reservations where a basic date-picker is not enough. Group bookings are supported through capacity and occupancy controls, and the dashboard includes calendar, agenda, list, and resource-oriented views.

The Gravity Forms connection is also unusually deep. Booking fields sit inside the form, so conditional logic, payment fields, notifications, user data, and other Gravity Forms integrations can participate in the same workflow. A concrete example is pricing: booking prices are treated like Gravity Forms product fields and can be sent through supported payment gateways. Gravity Wiz’s Basic plan is currently $59 per year for one perk on one site, but Gravity Forms itself is a separate purchase, so the total cost is higher than the headline add-on price suggests.

Calendar support is useful but not uniformly seamless. Google Calendar can provide direct two-way synchronization when paired with Gravity Connect: bookings can be sent to Google Calendar and existing Google events can block availability. Other services generally rely on ICS feeds. Those feeds are read-only and not instant; the documentation says synchronization commonly runs on an hourly schedule, while external calendar apps may refresh less often. That is acceptable for many businesses, but it is not the same experience as a mature scheduling SaaS.

The weak point is maturity and setup overhead. The product requires you to understand Gravity Forms fields, services, resources, availability windows, pricing rules, notifications, and calendar synchronization before it becomes comfortable. The documentation currently lists a limitation where the Service field supports only one selected service, while automatic resource assignment requires the attached service to use a preselected service. Community discussion has also identified the product as still being in beta, despite being positioned for production use. That does not make it unusable, but it is a reason to test a complete booking flow before committing.

Compared with Amelia or Simply Schedule Appointments, Gravity Forms Bookings offers more form-level customization but less of a turnkey setup. Compared with WooCommerce Bookings, it is better suited to form-driven services and custom calculations than product-centered commerce. Compared with Calendly, it keeps data and workflows inside WordPress but lacks Calendly’s polished hosted experience and broader meeting-service ecosystem. Buy it when Gravity Forms is already central to the site and booking rules are genuinely complex. Otherwise, the alternatives deliver a faster path to a reliable calendar.
